How to Export Shopify Orders to Google Sheets: Manual and Automated Methods

Exporting your Shopify orders to Google Sheets can help you analyze sales, manage inventory, and keep financial records up to date.

There are two main ways to get your order data into a sheet: manually downloading a CSV from Shopify or using a tool like DataFlowed to automate the process.

I'll walk you through both approaches and explain when and why you might use them, so you can pick the right solution for your store.

Manual Export of Shopify Orders

You can export orders directly from your Shopify admin dashboard without a third-party tool. Shopify provides a built-in Export button on the Orders page.

To do this:

  1. Go to your Shopify Admin and click Orders in the sidebar.
  2. Click the “Export” button on the Orders page.
  3. Choose which orders to export (for example, all orders or a date range) in the dialogue that appears.
  4. Select CSV format and confirm. Shopify will either download the CSV immediately (if it’s a small number of orders) or email it to you when ready.

You can open or import this CSV file in Google Sheets.

To import your CSV into sheets:

  1. Go to File and click Import.
  2. Choose Upload, select Browse and select your file from your computer.
  3. Choose your Import Location, for example, use 'insert new sheet(s)' and a new sheet will be added with your data.
  4. Choose your data Separator, you can generally leave it as Detect Automatically.
  5. Your Order data will be in a new sheet.

The sheet will contain columns like Order ID, customer info, financial status, totals, and more for each order. You can find more information from the official Shopify documentation here: help.shopify.com.

This manual method is straightforward and requires no extra apps or setup. It’s best for occasional exports or quick backups of your order history. However, if you have many orders or need frequent updates, doing this by hand each time can be time-consuming and error-prone.

Automate Shopify Order Exports with DataFlowed

Instead of exporting manually, you can automate the process using a data connector like DataFlowed.

DataFlowed lets you connect Shopify to Google Sheets and set up automated exports with just a few clicks. Once set up, your Google Sheet will update with new orders on the schedule you choose.

Here is how to get started.

First, if you don't already have a DataFlowed account, sign up for free here.

Here's how you can create an automated data export with DataFlowed, it will only take a couple of minutes.

  • Connect Shopify: In your dashboard, add a new connection and select Shopify. Enter your store’s URL (like your-store-name.myshopify.com) and authorize DataFlowed in Shopify. (You’ll need admin access so you can grant read-only permissions for orders, products, inventory, etc. DataFlowed only reads your data – it can’t make changes.)
  • Connect Google Sheets: Add a new connection, and this time select Google. You will go through the authorization flow with Google and then you can either create a new sheet or select an existing one as the export destination.
  • Create an Exporter: From the navigation bar, select Export Builder, click Create New Export and choose Shopify as the data source. Select your connected Shopify store and the Google Sheet to receive the data.
  • Set the schedule: Decide how often the export should run. DataFlowed lets you schedule exports hourly, daily, weekly, or one-time. For example, you could refresh your orders every morning.
  • Configure the export: DataFlowed shows you options for what data to export. For example, it has tabs for Orders, Products, Inventory, Customers, etc. Enable the Orders tab to include order data. You can pick which columns to include (like order ID, email, financial status, total price, created date, etc.). Choose whether to append to or replace the data on each run.
  • Save & run: After configuring, save the exporter. You can run it immediately to test and then let it run on the schedule. DataFlowed will push your Shopify order data into the Google Sheet automatically.

Once set up, there’s no need to log into Shopify or export anything manually – the sheet stays updated on its own.

Use Cases for Exporting Orders to Google Sheets

Exporting your order data to Google Sheets can help with the management of your Shopify store.

Here are some common use cases:

  • Sales Reporting and Analysis – Generate custom sales reports or dashboards in Sheets or Looker Studio. For example, you can track total sales by day, product, or customer segment. An automated export keeps these reports fresh without manual data entry.
  • Inventory Management – Monitor stock levels by combining orders with inventory data. When orders are pulled into Sheets regularly, you can quickly see which products are selling out and need restocking.
  • Financial Accounting – Simplify bookkeeping by exporting orders for your accounting team. You can merge the order export with other financial data (shipping, taxes, fees) in one place. This is great for tax filing and bookkeeping.
  • Customer Insights – Analyze customer order histories. In Sheets, you can identify repeat customers, average order values, or buying patterns. Having the data in Sheets makes it easy to filter and chart.
  • Data Backup or Migration – Keep a copy of your order data outside Shopify. For large migrations or backups, exporting to Sheets or CSV ensures you have your data even if anything happens to the store.

Benefits of Automation

Automating the Shopify-to-Sheets export saves a lot of time and reduces errors. For example:

  • Saves Time & Effort – No more manual CSV downloads or copy-pasting. Once you set up the export, DataFlowed handles it. This frees up time to focus on selling rather than data crunching.
  • Reduces Human Error – Automation means your data is transferred exactly each time. This avoids typos or forgotten updates that can happen with manual exports.
  • Always Up-to-Date Data – With scheduled refreshes, your Google Sheet is continuously synced. This means you always see the latest orders without any effort.
  • Real-Time Insights – Because the sheet updates on schedule, you can get near real-time insights. For example, you could run a daily report first thing in the morning on yesterday’s sales without having to wait for a manual export.
  • Collaboration – The data lives in Google Sheets, which is easy to share with team members. Everyone from accountants to marketing can look at the same live data.

Automating with DataFlowed means your ecommerce data flows seamlessly. You get the flexibility of Google Sheets with the power of an automated connector. No more juggling CSV files or missing data.
